Apply to rent an auditorium

This is the Auditorium Use Form and TR-1 technical rider in one. It takes about 10 minutes. Send it at least 21 days before your event. Questions? Call Matt at (248) 521-4198.

Every question is required unless it says optional. Your answers go to the auditorium manager, who will reply within 2 weeks with an approval and a cost estimate.

Setup time is when the auditorium opens for you on the day of your event, so allow enough time to set up the whole show. Billed time runs from when the doors are opened until the program and tear-down are complete.

When the theatre is in use, a custodian and auditorium personnel are required. Normally that's one adult supervisor, one student for audio, one student for lighting and one student stage manager. More complex productions may need more crew.

Step 5 of 5: Rules and agreement

Rules concerning use of school facilities (16)Read
  1. The user group agrees to assume all liabilities for damage which may occur in, on, or about any Walled Lake Consolidated School District facilities while using them, when damage to property or injury to persons is the result of the acts, omissions or neglect of the users or their agents, servants and employees.
  2. Educational use is the first priority of these facilities. All facilities will be left in the exact condition which preceded your use, and student and teacher projects, materials and equipment will not be disturbed.
  3. Use of building facilities is restricted to the specific areas requested. User groups in unauthorized areas may be asked to leave the building.
  4. Requests for facility use should be submitted to the Operations Department 21 days before the requested use. No reservation is made until an application has been approved by the facilities manager.
  5. School authorities reserve the right to revoke a requisition application at any time.
  6. Deposits, where required, should reach the Operations Department at least 10 working days before the scheduled event. School activities and Community Education programs have priority over non-school activities, so times and dates are subject to change or cancellation.
  7. If the regular school day is cancelled due to inclement weather, all daytime and evening activities are also cancelled. Additional custodial costs may apply if snow removal is needed.
  8. Organizations that wish to cancel must notify the Auditorium Manager or Operations Department 48 hours in advance, or they will be charged for expenses incurred: (248) 956-3064 or (248) 956-3061.
  9. Smoking is prohibited in Walled Lake Consolidated School facilities and grounds.
  10. No alcoholic beverages or illegal substances may be brought into or consumed in any district facility or on its grounds.
  11. No activity using open flames is permitted unless approved by the fire marshal and the facilities manager. Fireworks are not permitted.
  12. Equipment or other property may not be stored on school property unless approved by the facilities manager. The district assumes no responsibility for property left on the premises.
  13. If a custodian must provide services beyond those requested, the group will be billed at the overtime rate for the additional time.
  14. Custodians are not authorized to provide school equipment to user groups except as described and approved on the facilities request.
  15. Use of kitchen equipment requires that cafeteria personnel be on duty.
  16. Persons or groups who fail to follow the policies and regulations of the Board and Superintendent forfeit all privileges of future use of district facilities.
Regulations for auditorium use (7)Read
  1. Every event, rehearsal and performance needs a building use request. For rehearsals, fill out one form and attach a calendar with all dates and times.
  2. Requests go to the main office of the building (in-building use only) or the Operations Department 2 weeks before the event. A request isn't approved until a signed permit is returned to the applicant.
  3. Every request must include a TR-1 (technical requirements). Changes to technical requirements must be made in writing no later than 48 hours before the event.
  4. All events must end by 10:30 PM. Events running later may result in extra charges.
  5. Cancellations must be made in writing to the Auditorium Manager or Operations Department at least 48 hours before the event.
  6. Every group must follow the Rules Concerning Use of School Facilities.
  7. Ushers are required to monitor the house, at least one person per door. Auditorium personnel meet with all ushers ten minutes before the house opens. Usher staff may be available for an added fee.
Stage rules (11)Read
  1. Only authorized tape (gaff tape, spike tape) may be used on the stage floor. Colored contact-paper shapes may be used if they are removed as soon as the event is over.
  2. All cables must be taped down in an aisle or between seat rows.
  3. If no crew is present for an event or rehearsal (in-building use only), the director must lock the theatre and turn off all lights except the ghost light at the end.
  4. Only authorized persons are allowed in the technical booth.
  5. Any change to the lighting and sound systems must be authorized and approved by the auditorium manager.
  6. Confetti is prohibited. Streamers may be used with the auditorium manager's approval and must be cleaned up at the end of the event.
  7. Pyrotechnics and open flames are prohibited.
  8. Props and set pieces housed at the school belong to the drama department and may not be used without its written permission.
  9. Set pieces, props and costumes must be removed after your event unless the auditorium manager allows them to stay. The auditorium manager, custodians, staff and school are not liable for damage to items left behind.
  10. Curtains may only be operated by an authorized person. Tape or pins may not be used to hang decorations on them.
  11. No food or drink in the auditorium, dressing rooms or booth. Water in a closed bottle is allowed in the dressing rooms and backstage.
